Finding the right tools to streamline your business processes can make all the difference in whether you're successful or not.
In this behind-the-scenes look, I'll walk you through how I use Xmind, my go-to mind-mapping app, to enhance my coaching business (and life).
There are a ton of mind mapping apps available to us, but Xmind stands out because of a few key features.
Let me show you exactly how I incorporate Xmind into my Coach Action Plan calls, which are 90-minute sessions designed to guide coaches in planning their business strategy for the next three to six months.
The process begins when a potential client signs up for a Coach Action Plan and fills out a detailed questionnaire. I transfer their responses into Xmind to set the foundation for our session. Because Xmind allows for multiple mind maps in one document, I set this up in it's own sheet.
During the call, conducted over Zoom, I share my screen and delve into the client's current situation, challenges, dreams and goals, and what they want their business to look like
Next, I use another tab to guide the potential client through the components of a thriving coaching business, ensuring they grasp each element clearly. I want to make sure that we're on the same page before we build their action plan.
Once we're on the same page, I move over to the next tab and explain that while those are the pieces of a thriving coaching business, the order in which we build them is different. It looks like this...
These are the steps of my proprietary coaching framework, the 3C Genius System. I walk them through each step to determine which steps have been completed successfully, which steps still need work, and which steps are still missing.
Once I have a thorough understanding of where their business stands on each of the steps, I give my recommendations for what would be optimal for them to work on and in what order for the next 3-6 months.
Sharing and Next Steps: Exporting and Collaborating with Xmind
Once the recommendations and priorities are established, I further leverage Xmind's capabilities by exporting the mind map as a PNG or JPEG, providing clients with a visual summary. Many of my clients, charmed by Xmind's features, decide to explore the app themselves. When this happens, I share the Xmind file with them directly so they can check off the action items as they complete them.
With a click of a button, the mind map turns into an outline, which is perfect for those clients who want something linear along with the mind map.
This allows them to copy the action items to their task management app or use it as is.
