Transform Your Coaching Business with These 6 Crucial Days

I have realized the importance of taking six days for myself in both my personal and professional life. Without these days, things do not run smoothly.


If you are like me, you are passionate about your business and are willing to work long hours to make it succeed.


These six days are essential for me to maintain productivity and avoid burnout.


Taking these days for yourself will not only allow you to avoid burnout, but make your life and business just so much better.


Now, let's take a look at each...

Move the Needle Days

Move the Needle Days are all about driving growth and achieving results in your business.


When you are head down working in your business, it can be easy to get caught up in the daily grind, focusing on immediate tasks and forgetting about the bigger picture. However, if you want to succeed in your business and life, it is crucial to set aside dedicated time to make meaningful progress towards your long-term goals and achieve business success. This is where Move the Needle Days come in.


Move the Needle Days are strategic and focused days dedicated to driving growth, achieving results, and making significant strides towards the business goals you've set for yourself.


So, how can you make the most of your Move the Needle Days? Here are a few essential steps you can follow...

Step 1. Reflect on Your Priorities

Start by reviewing your long-term goals and aspirations. Pull out your business plan, if you have one. Ask yourself what truly matters to you and your business.


Have you been focusing on the right things? Is what you've been doing on a daily basis aligned with those long-term goals and aspirations?


These questions will help you gain clarity on what needs to be prioritized. You'll be able to see if you've got some gaps you need to fill in.


Some ideas for what to work on might include...

Improve your coaching services

You can’t create a business unless you have coaching services to sell, right? And you can’t stay in business unless you are improving your services. We live in a constantly changing world. Keeping up, staying relevant, and standing out are uber important.

Market your business

You can’t have a business if no one knows about you. You need to do the things that get the word out. This includes everything you do to attract prospective clients.


It’s a good idea on these days to review what’s working and what isn’t and adjust accordingly.

Develop the entrepreneur in you

One of the best ways to grow your business is to learn how to grow a business! Take time to learn about business planning, marketing, copywriting, content creation, and sales. The dividends will pay off. This can include books, conferences, coaching, and courses.

Step 2: Set SMART Goals

Once you have a clear understanding of your priorities, it's a good idea to set Specific, Measurable, Attainable, Relevant, and Time-bound (SMART) goals for your Move the Needle Day. How many goals you have will depend on how many days you've set aside to move the needle.

Step 3: Create an Action Plan

Break down your goals into actionable steps. What are the key tasks that need to be completed to move the needle closer to your vision? Map out a clear action plan, outlining the resources and next action steps. David Allen, the author of Getting Things Done, recommends that we have everything available to take the next specific action.


A good example of this is if one of your tasks is to make an appointment with someone, you have their phone number connected to the task. "Make an appt with Dr. Smith -- 555-555-5555." This ensures that actually making the call is your next action step instead of having to find the doctor's number first. By doing this, you've eliminated any friction on the day to getting that task done.

Step 4: Eliminate Distractions

During your Move the Needle Day, it is crucial to clear your calendar and eliminate distractions. You want to create an environment conducive to deep work and focused thinking. This might mean...

  • Turning off notifications on your devices
  • Finding a quiet workspace
  • Disconnecting from social media

The idea is to create an uninterrupted flow where you can fully immerse yourself in your tasks. I highly recommend audio programs designed to increase focus, such as the ones available on Brain.fm or the ones created by Dr. Jeffrey Thompson. I've been using the Dr. Jeffrey Thompson audios for years. It only takes a few minutes to get completely focused on your work.

Step 5: Get to Work

On the day, you should have everything you need to make some significant progress towards your goals. Work your prioritized tasks one by one.


Do keep in mind that some unexpected tasks or ideas will come up that weren't planned. Be open to making adjustments as needed. Just evaluate whether these new tasks or ideas are relevant to the goals you set out for the day. Or whether you can add them to your action list for another day.


On that note, it's a good idea to have a notepad on hand for these tasks and ideas. Like most of the coaches I work with, I'm guessing you have new ideas coming at you at all times. In order to stay focused on the day's tasks, make sure you've got a place to write down new ideas so that you can keep going and not get distracted.


By embracing the power of Move the Needle Days, you can make huge progress towards your goals and dreams in no time.

Admin Days

In business, there is often a never-ending stream of tasks, errands, and projects that demand our attention. As a result, the smaller admin tasks that keep us organized and on top of things can fall by the wayside.


I find that admin days are vital to keeping my sanity in both my personal and professional life. These dedicated days are specifically set aside to tackle administrative tasks, streamline processes, and ensure that everything is running smoothly behind the scenes. I like Fridays for this.


So, what exactly does an admin day look like? Here are a few recommended tips and strategies to use this designated time wisely.

Start from a Checklist

I keep a template of all the admin tasks I want to run through every week. I just copy that template and start checking away. It's a great way to move through all the tasks quickly and ensure your slate is clear by the end of the day. Just make sure to prioritize your checklist based on most important to least important. The goal is to clear out all the more critical tasks so you can start the next week ready to go.

Streamline Processes

Admin Days are great times to review your existing processes and identify where you can improve. They are especially great for automating repetitive tasks or trying out new apps that can improve your workflows. Throughout the week, I will make a note of any workflow improvements that come to mind and save them for my admin day. That way, there's less of a chance of me behaving like the dog in the movie, Up.

Clear the Clutter

This is one of my favorites. Use part of your admin day to declutter your physical and digital spaces. This is your chance to organize your files and folders, get to inbox zero, and delete any documents, screenshots, or extras you no longer need. There's nothing like a clean, visually appealing environment to encourage creativity and growth.


I'm a big believer that our environment reflects what's going on in our heads. I'm also a big believer that if we clean up that environment, our heads become that much more calm.

Review and Update Information

Admin Days are ideal for reviewing and updating essential information for your business. Take a look at your contact lists, client notes and databases, and other crucial records to make sure they are accurate and up to date.


Admin days may not seem glamorous or exciting, but I guarantee you will feel a lot calmer and more in control of all the little pieces of your business. Knowing that you've set aside a day each week or so to make sure your business is running like a well-oiled machine will allow you to be creative and awesome the rest of the days.

Reset Days

Reset days are when you review your last week or two (depending on your schedule) and plan out the next week or two.


In the video, I talk about working in two-week sprints. Weekly sprints work just as well.


First, you plan out the next 1-2 weeks. What are the projects and tasks you want to accomplish? Look at your calendar. Is there anything you need to prepare for. Look at your projects and tasks. What's most urgent to get done? What do you want to accomplish? Get those in your task and project system.


Second, you work those projects and tasks hard for those 1-2 weeks. Getting as much done as you can.


Third, at the end of the sprint period, review your calendar, projects, and tasks for what you accomplished, what you're proud of, and celebrate your wins.


Also, look for the lessons. What was planned and didn't get done? Why did it not get done? Did you procrastinate? Decide that something else was more important? Put too much on your plate to begin with?


Once you do that you can decide if there are any "do differently's" for the next sprint. This is my term for taking a lesson into the future. What do you want to do differently next sprint, if anything?


And then rinse and repeat.


While the first three days in this list can help us move our businesses forward faster and keep us saner doing so, the following days are all about making the most of our actual lives. And make no mistake, add these days to your life and your business will grow as well.

Rejuvenation Days

As most small business owners know, it's all too easy to become consumed by the daily grind and neglect our own well-being. As entrepreneurs and professionals, we often put our business goals and responsibilities ahead of our own personal needs, such as our physical health. Or even our mental health. However, it is so necessary to take time for ourselves so we can recharge.


Enter rejuvenation days — dedicated time to step back, recharge, and focus on you.


So, what does a rejuvenation day look like?


Well, that depends on you. This is where you get to completely unplug from your business. No cell. No computer. Hang out with family & friends. Read a good book. Watch a good movie or five. Go to your favorite restaurant. Meditate. Pamper yourself. Personal time for just you. Reaching personal goals. Whatever. Have some fun. Don’t feel guilty. This is an important part of being productive in your business. You don’t do this, you WILL burn out.


I like to think of these days as preventative medicine.


And don’t forget to make these days mandatory for your team, if you have one. Do you have team members who work too many nights and weekends? Make sure they understand that not incorporating rejuvenation days is a no-no.

Epic Days

In addition to rejuvenation days, another important day to include in our business and personal lives is what I like to call "Epic Days."


These days are all about doing something you LOVE to do with people you LOVE to hang out with. Something out of the ordinary that you don’t get to do all the time and is a complete blast.


This might be anything from a day of skiing with your family to an epic road trip with friends. Make sure you have several of these throughout the year.


Plus, these epic days can actually help you become more productive in the long run. Taking time to do something fun and different will give you a much-needed break from work.


Life is so much better with Epic Days.

New Experience Days

Finally we have new experience days.


It is so important that we keep our brains fresh and experience (and thus learn) new things. To make our business successful, we need to keep learning new things about business. This will help it keep growing. That’s what the Move the Needle Days are for.


Yet, it is important to have other experiences unrelated to the business. New experience days are all about exploring new opportunities, stepping out of our comfort zones, and gaining fresh perspectives that can enrich our personal growth.


One of the reasons why new experience days are vital is because they allow us to break free from our daily routines and try something completely different. Whether it's learning a new skill, participating in a workshop, or immersing ourselves in a different culture, these experiences broaden our horizons and expand our minds. They challenge us to think outside the box and push our boundaries, which can open up doors to new possibilities and opportunities. Or just a heck of a lot of fun.


Here are some ideas to get your creative juices going...

  • Try going to a place you’ve never been. Explore a neighborhood on your bike. Get in the car and head two hours south to a town you’ve never been before.
  • Take a friend or loved one for a long weekend or vacation. Make sure you go somewhere you haven’t gone before.
  • Take a class to achieve personal goals — music, woodworking, jewelry making, mosaics, drawing, painting, etc.

An added bonus is that new experiences days are an excellent opportunity to connect with like-minded individuals and expand our circle.


Plus, incorporating new experience days into our lives also brings a sense of excitement and anticipation. They inject a dose of adventure and novelty into our lives. Which only helps our businesses.
